The vendor portal
See what your vendors and subs get when you send them an order or a bill — a branded portal where they accept work and review what they're owed, with no account to create.
The vendor portal is the same portal your clients use, scoped to a vendor or subcontractor. Sending them a vendor order or a vendor bill grants access automatically — there's no signup and nothing to install. They land on a branded page for that one project and can act on what you've sent.
How a vendor gets in
- Send a vendor order (a purchase or work order) or a vendor bill to your vendor's email.
- Foreman emails them a link. Opening the link is their login — no password to create.
- They land on the Project Portal for that project, showing only what you've shared with them.
Note
What the vendor sees
The portal groups everything you've shared with them by type:
- Vendor Orders — purchase orders and work orders to accept.
- Vendor Bills — a payment notice showing what you've recorded against them.
They click any row to open it full-screen. To open the full project workspace, they click Open your project workspace at the top.
Accepting a vendor order
- The vendor opens an order from the Vendor Orders group and reviews it.
- If the order requires a signature, they sign it and click Complete Signing.
- If no signature is required, they click Accept Order.
- To turn it down, they click Decline and confirm.
When they accept, the order's status updates on your side automatically and the committed cost flows into your budget — no manual step.
Reviewing a vendor bill
Vendor bills appear as a Payment Notice: the vendor can open the bill to see the amount, bill date, and due date you've recorded. It's a read-only view — bills are something you record and pay on your side, not something the vendor acts on in the portal.
