Manual time entry & approval

Log hours after the fact, attribute them to a budget item, and approve entries before they reach job costing.

Not every shift goes through the live clock. When someone worked offline or you're catching up on a timesheet, log the hours by hand. Every entry starts Pending and only reaches the budget once it's Approved.

Log time manually

  1. From the sidebar, click Time.
  2. Click Create time entry.
  3. Choose a Project, or No project — overhead / admin for office time.
  4. Set the Date and Hours worked.
  5. (Optional) Pick an Item — the budget line this time counts against.
  6. (Optional) Add a Note.
  7. Click Log time.

Note

You can also log time inside a project: open its Time tab and click Create time entry — the project is already set.

Don’t see this?

No Create time entry button? Your role may not include time tracking. Ask your organization owner to grant it.

Attribute time to a budget item

The Item field ties the hours to a specific budget line, so labor lands against the right cost. Leave it as Uncategorized if you're not sure — you can reopen the entry and set it later. Overhead and admin entries (no project) have no item, since there's no budget to count against.

Approve an entry

Approval is the gate that lets hours and labor cost roll into the budget.

  1. On the Time list, click the entry you want to approve.
  2. In the editor, set the Status field to Approved.

The entry's status pill turns green (Approved), and its hours and cost flow into job costing.

Don’t see this?

The Status field only appears for members who can manage the team. If you don't see it, ask a manager or your organization owner to approve.

Review pending entries

  1. Use the Status filter at the top of the list.
  2. Choose Pending to see everything still waiting on approval.

Open each one and set its Status to Approved to clear the queue. Set an approved entry back to Pending the same way if you need to pull it out of the budget.
