Project access scope

Give a teammate access to every project, or limit them to just the ones they're assigned — independent of their role.

A member's role decides what they can do; project access decides which projects they can see. The two are separate, so you can give someone broad permissions but still limit them to a handful of projects.

The two scopes

  • All projects — the member sees and can open every project in your organization.
  • Assigned only — the member sees and can open only the projects they've been added to.

This applies to internal teammates. Clients and vendors are always scoped to just what's shared with them, so there's no toggle for them.

Set a member's project access

  1. From the sidebar, click Organization.
  2. Click the Members tab.
  3. Click the member's row to open their panel.
  4. Under Project access, choose All projects or Assigned only.

The change saves immediately and takes effect the next time the member loads the app.

Changing a member's project access is usually limited to the organization owner and admins. If the Project access control is read-only, ask your owner.

Assign someone to a project

Use Project Access to add the teammates, clients, and vendors who will work on a project:

  1. Open the project's Dashboard tab.
  2. In Project Access, use Search teammates, clients, vendors… to find people by name, email, role or company. Select individual people under Clients, Internal, or Vendors. The menu stays open; selected people move into chips inside the search field. Use a chip’s × to remove a selection.
  3. Review the selected names, then click the orange + button at the right inside the search field. Choosing names alone does not add them.

A teammate with Assigned only access will now see the project in their list; removing them from the panel takes that access away. Teammates with All projects keep their browsing access after removal.

Only people added to the project appear in its access list. Use the search picker and Add to give other teammates an explicit project assignment, including those with All projects access. Everyone needs that assignment before being chosen as a project message or record recipient; project to-dos can be assigned only to added internal teammates. All projects browsing access alone does not put a teammate in those pickers.

Note

The organization owner always has access to every project — the toggle is fixed to All projects for them. You also can't change your own project access from this panel.
