Customize & send a record

Edit a record inline in the live document, control which columns show, add recipients, and send it with your branding.

The record builder is a what-you-see-is-what-you-get editor — you edit the actual document the recipient will get. The left pane is the live page; the right side panel holds the actions, recipients, and settings.

Edit on the page

  1. Hover any field on the document — a thin outline shows it's editable.
  2. Click and type to change the title, Description, dates, and other text inline.
  3. There's nothing to save manually — your edits are kept as you go.

Apply your branding

  1. Hover the company block top-left and click the pencil to edit your company info and logo.
  2. The accent color and logo come from your organization settings, so every record looks like you — see the Organization settings guide to set them.

Control which columns show

On a record with a line-items table:

  1. Each column header carries an eye toggle — click it to show or hide that column. The header row has one for Qty, Unit, Unit Price (Unit Cost on vendor records), and Total; the eye next to Item toggles line descriptions.
  2. A hidden column greys out in the builder so you can turn it back on, and is dropped entirely from the printed document and PDF.

Note

Descriptions are off by default — click the eye next to Item when you want line detail to print.

Add recipients

  1. In the side panel's Recipients section, type into the add box and pick a contact, or click Add new client (or Add new vendor / Add new contact, depending on the record) to create one inline.
  2. Add multiple recipients where the record type supports it.
  3. Use the per-recipient Signature? toggle to require a signature from anyone who must sign.

Send it

  1. Click Send in the side panel — the same button on every record type.
  2. If no recipient is set yet, Foreman scrolls you to the Recipients box and highlights it instead of sending.
  3. Each recipient gets an email link to view it in their portal. To resend after edits, click Send Again.

Want the file itself? On records that carry one, the side panel has a Download PDF button.

Don’t see this?

If the send fails, your role may not allow sending this record type — sending can be granted separately from creating and editing. Ask your organization owner.
