Record templates
Create and customize record types — set default intro text, closing notes, and the body shape so every record you send starts consistent.
Every record you create starts from a Record Type — a reusable template like Proposal, Change Order, Invoice, Purchase Order, Lien Waiver, or Bid Request. Foreman ships a set of presets, and you can customize them or add your own so new records start with the right heading and boilerplate.
Open Record Types
- From the sidebar, click Organization.
- Open the Record Types tab.
- You'll see your types grouped under Active, with an Archived tab alongside.
Don’t see this?
If the Record Types tab says you don't have permission, ask your organization owner to grant access to record types.
Create a record type
- Click New Record Type.
- Choose which of the five families it belongs to (Client Agreement, Client Finance, Vendor Agreement, Vendor Finance, or Request).
- Give it a name (for example, "AIA Pay App" or "Lien Waiver").
- Pick its body shape — whether it carries line items, a list of questions, or is a sign-for-review document with no items.
- Optionally set a default intro message and closing notes that prefill on every new record of this type.
- Save.
Customize a preset
- Click a preset to edit it.
- You can rename it and set its default intro and closing text — the same fields as a custom type.
- Save. New records of that type pick up your defaults.
Note
On a preset you can edit the name and default text, but the body shape is locked — presets keep their built-in structure.
Duplicate or archive
- Use a type's menu to duplicate it under a new name when you want a variant.
- Archive a type you no longer use — it moves to the Archived tab and stops appearing in the Create Record picker. Restore it anytime.
Where defaults show up
When you click Create Record and pick a type, its name becomes the document heading and its default intro and closing text prefill into the new record — so you start from your boilerplate instead of a blank page.
